AI Agents for Operations

Automate the work
your team repeats
every week.

We build AI agent systems that slot into your existing stack — scheduling, invoicing, intake, routing — delivered under a fixed scope. No platform lock-in, no vague roadmap.

What kind of problem are you dealing with?

Pick the pattern that fits your situation and see how we'd typically approach it.

Scheduling chaos

Clients book at odd hours, staff rearrange manually, no-shows aren't caught until the slot is gone. The calendar is managed by someone's memory rather than a system.

  • Booking agent with conflict detection and auto-reminders
  • No-show handling and rebooking logic
  • Integration with your existing calendar tool (Google, Outlook, Calendly)
  • Optional: SMS/email confirmation flows
How this engagement works

Invoice delays

Invoices sit in draft. Follow-ups are manual. Finance spends hours chasing the same five clients every month. It's not complicated work — it just hasn't been automated yet.

  • Invoice generation from completed jobs or time entries
  • Automated reminder sequences at configurable intervals
  • Escalation logic for overdue accounts
  • Integration with Exact, Moneybird, QuickBooks or similar
How this engagement works

Intake & routing

Enquiries arrive by email, form, and WhatsApp. Someone reads them, categorises them, and forwards them to the right person. This is the kind of work agents handle well.

  • Classification of incoming requests by type, urgency, or service line
  • Auto-routing to the right team or queue
  • First-response drafts for common enquiry types
  • Audit log of every decision made

Manual reporting

Someone pulls numbers from three systems on the last Friday of every month. The report takes half a day. It's the same report every time, with different dates.

  • Scheduled data pull from your sources (CRM, spreadsheets, databases)
  • Formatted output in the format your team actually reads
  • Delivery to email, Slack, or shared drive
  • Alerts when key metrics fall outside expected ranges

Fixed-scope engagements

How we're different

Most AI consultancies leave you with a prototype and a follow-on services contract. We don't. Every engagement has a fixed scope, a defined deliverable, and an end date.

No vague roadmaps

You see the scope before the contract. The deliverable is described in plain language — not "AI-enabled transformation."

Your stack, not ours

We build on the tools you already use. We don't pitch a proprietary platform that creates dependency on us.

Small team, direct access

You work with the same two people throughout. No account managers, no hand-offs mid-project.

Things people ask before getting in touch

No. Most clients have a developer or two on staff, or can provide access to someone who can help with API credentials and deployment. You don't need ML expertise — that's our job. What we do need is someone on your side who understands the process being automated and can answer questions about edge cases.
Before we start, we agree on what the agent does, what inputs it handles, what outputs it produces, and what happens in edge cases. The contract describes all of this in plain language. If the scope changes — because the problem turned out to be different than expected — we discuss it openly and adjust the agreement. We don't add scope silently and invoice for it later.
It depends on the task. For document processing and classification, we often use smaller models that run cheaper and faster. For reasoning-heavy tasks, we'll use larger models where the cost is justified. We pick the model that fits the job, not the one with the best marketing. We use open standards (REST, webhooks, standard data formats) so you're not locked to any particular provider.
You own the code. We document it and hand it over. We offer optional support packages — a retainer for monitoring, small changes, and questions — but they're genuinely optional. Many clients run the system themselves after handover. Some come back six months later with a new workflow to automate.
